How to Create and Assign a Task

Tasks is a very useful tool on the neXtrack platform. It can be used for many situations such as setting tasks to workers or reminders to workers or logging ‘Actioned’ evidence for SMS alerts.


The steps are the same for all users.

 

Below is an example of creating and assigning a Task, and a Task being used to log evidence of ‘Actioned’ SMS exposure alerts.


Creating and Assigning

To create a task, log into the neXtrack platform.

On your main dashboard click on the 3 dots on the top menu bar to display another drop-down menu.

 

 

Click on Tasks

 

 

On the next screen, you can see all your open Tasks. There is also a tab with closed Tasks.

 

Click on the [+New Task] button to create a task


 

A new screen will open for the task details to be entered.

  • Task subject – What is this about
  • Description – More in-depth details or notes from the assignee.
  • Notes – Add any additional notes
  • Assigned to – This can be yourself or another person
  • Status – Pending, In Progress or Complete – Always change to complete when finished.
  • Priority – Low, Medium, or High
  • Progress – (%) 
  • Start date – Date task was started
  • Due date – Date task is to be completed by
  • Completed date – Date the task was completed
  • Site – The site the task is relevant to.
  • Attachments – This can be an image or document relevant to the task.

In this example, the task assigned to an employee to bring in neXtrack monitors for the long weekend.

 

  • Task subject – CoB – Bring Monitors in 4.10.2024
  • Description – Bring monitors in for the long weekend, its forecasted to rain.
  • Notes – This has been left for the assignee.
  • Assigned to – Employee
  • Status – Pending
  • Priority – High
  • Progress – 0%
  • Start date – 3.10.2024
  • Due date – 4.10.2024
  • Completed date – N/A
  • Site – Generic Builder Site
  • Attachments – N/A


Click [Save] to save the Task and the assignee will receive a flashing notification.

Assignee Responding:

 

The assignee has responded and closed out this task.

  • Notes: Done – Placed under the south stair well on level 1
  • Status: Changed to Completed
  • Progress: Changed to 100%
  • Completed date: 4.10.2024
    • The assignee could have attached an image of the monitors under the stairs if they required further evidence. 


 

Assignee clicks on the [Save] button to close the task.

 

 

Example below:

 

This example is of a task created by a HSE or Site Manager logging their evidence of ‘Actioning’ and Exposure Alert SMS Notification. In this example the task is also assigned to themselves.

 

This example can be closed out at the same time as opening it.

Note the Status & Progress is already set to ‘Completed’ settings
